This Refund Policy outlines the conditions under which refunds or modifications are available for our travel services. By booking with us, you agree to the terms below.

1. Booking Confirmation and Payments

When you book a tour with SouthernCe (e.g., Three Days in Coastal Slovenia or Hidden Castles of Southern Austria), a deposit or full payment is required to secure your spot, depending on the tour and booking timeline. All payments are processed securely, and you’ll receive a confirmation email with details of your itinerary, including dates, inclusions, and total cost. If you need to modify or cancel your booking, please review the terms below.

2. Cancellation by You

We know life can be unpredictable, so we’ve outlined our cancellation terms to balance flexibility with the commitments we make to our local partners (e.g., boutique hotels, guides, and wineries). Refund eligibility depends on when you notify us of your cancellation:

More than 60 days before tour start date: Full refund of the tour price, minus a $50 processing fee per person to cover administrative costs.

30–60 days before tour start date: 50% refund of the tour price. This accounts for non-refundable deposits we’ve paid to secure accommodations, guides, or activities (e.g., Škocjan Caves entry or Tokaj winery bookings).

Less than 30 days before tour start date: No refund, as most arrangements (e.g., hotel bookings, festival access) are non-refundable at this stage. However, we’ll work with you to explore rescheduling options (subject to availability and additional fees).

3. Modifications to Your Booking

If you need to change your tour date, destination, or participant details, we’ll do our best to accommodate:

More than 60 days before tour start date: Modifications (e.g., switching from Wine and Hungary’s Heartland to Autumn Harvest in Southern Czechia) are free, subject to availability. Price differences may apply.

30–60 days before tour start date: Modifications incur a $25 fee per person, subject to availability and any additional costs (e.g., higher hotel rates).

Less than 30 days before tour start date: Modifications are not guaranteed but may be possible at our discretion, with a $50 fee per person plus any additional costs.

Contact us as soon as possible to discuss changes. We’ll confirm availability and any adjusted costs within 48 hours.

4. Cancellation or Changes by SouthernCe

While rare, we may need to modify or cancel a tour due to unforeseen circumstances (e.g., extreme weather, local restrictions, or insufficient bookings). If this happens:

Modification: We’ll offer an alternative itinerary (e.g., a different castle in South Bohemia or a similar winery in Tokaj) with comparable value. You’ll be notified at least 14 days before departure and can accept the change or request a full refund.

Cancellation: If we cancel your tour, you’ll receive a full refund of all payments made, processed within 14 business days. Alternatively, you can opt for a credit toward a future tour, valid for 12 months.

We’ll notify you promptly via email ([email protected]) or phone if changes occur and work to ensure your experience remains exceptional.

5. No-Shows and Early Departures

If you miss the start of your tour (e.g., due to travel delays) or choose to leave early, no refunds will be issued for unused portions of the tour, including accommodations, meals, or activities (e.g., truffle hunting in Istria or thermal bath visits in Budapest). We recommend purchasing travel insurance to cover such scenarios.

6. Travel Insurance

We strongly advise purchasing comprehensive travel insurance to protect against unexpected events like illness, travel disruptions, or personal emergencies. Your policy should cover trip cancellations, medical expenses, and personal belongings. SouthernCe is not responsible for losses due to unforeseen circumstances, but we’ll assist with documentation for insurance claims if needed.

7. Special Circumstances

If you need to cancel due to extraordinary circumstances (e.g., serious illness or family emergency), please contact us as soon as possible. While our standard policy applies, we may offer partial credits or rescheduling options at our discretion, depending on the situation and documentation provided (e.g., medical certificate). 8. Payments and Currency

All tour prices are listed in Euros (€) and include specified services (e.g., accommodation, guided tours, select meals). Refunds will be issued in the original currency and payment method, subject to any bank or processing fees, which are your responsibility.
